Reception Duties:
- Coordinating front-of-house services by greeting visitors at the front desk and directing them to the appropriate personnel.
- Distributing documents, mail, and courier packages.
- Monitoring multiple email inboxes and answering the reception telephone line when needed.
- Monitoring the inventory of office supplies and ordering supplies as necessary.
- Maintaining the reception area, lunchroom, boardrooms, and print rooms, as required.
- Assisting in the planning and implementation of office events.
- Performing administrative tasks, such as maintaining hardcopy and electronic office files, photocopying, and scanning.
- Assisting in daily administrative operations, including scheduling meetings, prioritizing tasks, scanning/filing, monitoring action items and assisting other administrative staff as required.
Project Administration Duties:
- Performing project-related tasks, including organizing tender documents, binding reports, and proposals.
- Proofreading documents with careful attention to grammar, punctuation, style, tone, and consistency.
- Assisting in preparation of fee proposals including the researching, compiling, and summarizing of data in accordance with established procedures.
- Creating, maintaining, and updating electronic filing tracking system and records. Quality checking documents such as drawings, reports, and calculations to verify completeness and conforms to document standards.
- Organizing workflow to ensure that documents and packages are submitted on time prior to the submission due date.
- Drafting and reviewing documents, including correspondence, proposals, contract administration documents, memoranda, agendas, meeting minutes, and reports.
